Any of you guys know how to send a PDF to several hundred peeps at once? Ideally I'd like to build a distribution list that I can use a few times a year. This is for a newsletter. I can't count on the person who's supposed to handle it to do it right, and she's mad at me too (long story:rolleyes:). Tried a few things in Outlook and none of them has worked. I know there's someone in the crew that knows. Help a brother out.

In Outlook (not sure what version you are using) you can create a "New Contact Group" in "contacts". When the contact group box opens call it "Friends of Incoop". You can then add contacts to it either from your already established contacts or new ones as you get them.

Make sure you read the rules of the particular server you are going through to send these emails. Every service provider has rules that address mass emails, even if the recipient has expressed a desire in the past to accept them. My wife owns and internet hosting company and invariably every year, one of her clients will get reported as a spammer because they didn't follow the proper procedures when sending the mass emails.

Liability issues weren't something I had considered until I read the ehow link. I think I'm going to push for paying someone to do this for us.

Glad I'm not working for you :D

How many email addresses are you talking about here? A 70 is different than a couple hundred is different than 8,000. We distribute a couple of different ways for two organizations I work with. One mails directly from a Comcast server to about 200, the other works through website to hit about 75.

I'd have to check the spreadsheet, but off hand I'd say three or four hundred. I've been looking at Vertical Response and that looks like it may work. Up to 10k emails per month (we'd never approach that) and tracking that reports bounces, clicks, duplicates, etc. all free for nonprofits. The only rub is they don't support PDFs, but we've been having issues with those any way. I'd just have to get someone to help me choose and execute a format.

Can you post your newsletter online and have the email point (click, that is) back to it?

I was just thinking about that actually. That would really simplify the process. We post them in a members only section of the web site any way. I guess I could just email everyone the link and it would take them to the log in screen?

Not sure about the login ... you may be able to direct link back to it. I get a newsletter that way to a login site, but when I hit the link I don't have to login.

Re: Mass Email Distribution

Finally stumbled onto the solution and thought I'd share in case anyone finds himself (or herself) in need of something like this. Mailchimp is an email broadcast service that lets you blast an email to a bunch of contacts (up to 2k I think) for free. If you don't pay their logo is at the bottom of your email, but that doesn't bother me. I was able to import the spreadsheet with 395 email addresses in less than a minute, and the options for customization are great and really intuitive. I had no idea what I was doing and was able to come up with something head and shoulders above what we've been sending.
